1. Information We Collect During Inquiry & Booking

When you submit an online inquiry form on our website, contact us via WhatsApp, or call our 24/7 Haridwar dispatch desk, we collect only the essential travel and contact details required to prepare your quotation and allocate a commercial vehicle:

• Passenger Contact Details: Full name, mobile/WhatsApp phone number, and optional email address for sending official booking confirmation vouchers and invoices.
• Itinerary & Transit Information: Pickup location (such as Haridwar Railway Station platform number, Dehradun Jolly Grant Airport flight number, Delhi IGI Airport terminal, or hotel address), drop destination, travel dates, passenger count, and preferred cab category.
• Government Yatra Permit Details (When Applicable): For Char Dham Yatra and high-altitude Uttarakhand routes where commercial Trip Sheets and passenger manifests are mandated by the Uttarakhand Transport Department and Tourism Board, we may coordinate vehicle registration details against your official Yatra registration pass.

2. How We Use & Protect Your Personal Data

Your personal details are used strictly for fulfilling your taxi or tour reservation. Specifically, we share your name, pickup spot, and phone number only with the verified, salaried Shivangi Travels chauffeur assigned to your trip (typically 12 to 24 hours prior to pickup) so they can coordinate smooth boarding.

We never sell, rent, or trade your phone number, email address, or travel itinerary to third-party marketing agencies, hotel timeshare brokers, or unsolicited callers. All online inquiry logs are stored securely on access-controlled servers and are accessible only to our authorized Haridwar and Dehradun dispatch managers.

3. Payment Security & Booking Confirmation Voucher

We do not store credit card numbers, debit card CVVs, or net-banking passwords on our website. When you confirm a booking, token advance payments are processed directly via verified banking channels (official UPI ID, NEFT/IMPS bank transfer, or cash at our Haridwar office). Every advance payment is immediately acknowledged with a written confirmation receipt specifying the total package or per-kilometer rate, advance received, and balance payable.

4. Transparent Tariff, Toll & Hill Driving Policy

To ensure complete clarity between passengers and chauffeurs, all bookings with Shivangi Travels operate under the following standard Uttarakhand commercial transport guidelines:

• Kilometer & Day Calculation: For Haridwar and Dehradun pickups, garage-to-garage or station-to-station distance and calendar days apply as stated on your written quotation. Outstation per-kilometer bookings carry a standard minimum billing of 250 km per day.
• State Tolls, Parking & Inter-State Taxes: Unless explicitly booked under an "All-Inclusive One-Way Drop" package, Fastag highway tolls, municipal parking fees, and inter-state border entry taxes are payable at actuals against official receipts.
• Hill Air-Conditioning Safety Rule: In compliance with Uttarakhand RTO mountain driving safety norms, vehicle air-conditioning operates on all plains and valley highways (Delhi, Meerut, Roorkee, Haridwar, Rishikesh, Dehradun, Haldwani) and is switched off during steep continuous uphill climbs in the higher Himalayas to prevent engine overheating and maintain full braking and climbing torque.
• Night Driving Restrictions in Hills: As mandated by Uttarakhand Police and administration, commercial vehicle movement on high-altitude mountain roads (Char Dham corridor) is restricted between 8:00 PM and 5:00 AM for passenger safety. Highway transfers between Delhi NCR, Haridwar, and Dehradun operate 24x7.

5. Cancellation, Rescheduling & Force Majeure Policy

We recognize that pilgrimage and travel schedules can change due to train cancellations, helicopter slot shifts, medical emergencies, or Himalayan weather alerts:

• Free Date Rescheduling: If you notify our dispatch desk at least 72 hours prior to your scheduled pickup date, your 100% token advance can be adjusted toward rescheduled travel dates within the next 12 months without any penalty.
• Standard Cancellation: Cancellations requested 7 or more days before departure are eligible for a refund of the token advance after deducting nominal administrative/permit processing charges. Cancellations within 48 hours of departure may incur a one-day vehicle holding charge as the cab and driver are blocked exclusively for your group.
• Weather & Roadblock Advisories: During heavy monsoon rainfall or high-altitude snowfall, if government authorities temporarily halt traffic at Sonprayag, Bhatwari, or Joshimath, our chauffeurs will assist you in reaching the nearest safe town. Any additional days caused by natural roadblocks or itinerary extensions are billed at the standard per-day vehicle tariff.

6. Passenger Safety, Luggage & Chauffeur Code of Conduct

Every vehicle dispatched by Shivangi Travels holds a valid All-India / Uttarakhand Commercial Tourist Permit, comprehensive passenger insurance, Fitness Certificate, Pollution Under Control (PUC) certificate, and Green Card registration for mountain routes. Our chauffeurs undergo strict background verification and adhere to a zero-tolerance policy against alcohol or substance use while on duty.

• Luggage & Roof Carrier Safety: Heavy suitcases and duffel bags are secured on the roof carrier with waterproof tarpaulin sheets. However, passengers are advised to keep cash, jewelry, laptops, cameras, medicines, and original identity documents in their personal hand-baggage inside the cabin.
• Senior Citizen & Family Courtesy: Our drivers are trained to take frequent refreshment, washroom, and acclimatization halts on mountain highways at the request of elderly yatris and families traveling with children.
• Prohibited Items: Carrying commercial contraband, hazardous or flammable materials, or exceeding the RTO-approved seating capacity of the booked vehicle category is strictly prohibited under Uttarakhand Motor Vehicles Rules.
